A handover system for teams managing multiple accounts.

Build a practical account register, assign responsibilities, and make access changes easy to review.

When a teammate is away, the next operator should be able to find the right account and continue the approved work. A good handover explains ownership, access, connection details, and the next action without exposing passwords or relying on memory.

Build a register an operator can use

Create one record per account with the client, platform, account role, owner, operator, workspace name, proxy reference, and renewal responsibility. Link to the password manager instead of pasting credentials into the register. Use the same workspace name in the content calendar and support notes.

Separate approval from execution

Name the person who approves content or campaign changes and the person who carries them out. A task is ready to run when the operator can identify the account, approved material, destination, and expected result. If any of those are missing, return the task for clarification.

A completed task should include its outcome: a post URL, a saved campaign change, a support response, or an error that needs attention. This prevents the next shift from repeating work that was already done.

Keep proxy choices visible

Write the platform recommendation into the setup record: 4G mobile data for TikTok and Reddit, static residential IPs for Facebook Ad Accounts. Record the selected service separately from that recommendation so the team can see what is actually configured.

Assign someone to watch expiry and traffic. An otherwise tidy handover still fails if a proxy expires while the next operator is working. Use a calendar reminder that identifies the service and owner, without including connection passwords.

Test joining, covering, and leaving

Have a teammate unfamiliar with the account follow the handover once. Note every point where they need to ask a question. Improve the instructions before rolling them out across clients.

  1. For a new operator, grant only the accounts and tools needed for their role.
  2. For holiday cover, record the approved work and who handles unexpected requests.
  3. For a departing operator, review platform, browser, cloud-phone, and password-manager access.
  4. For a retired account, close outstanding tasks and review any paid services still assigned to it.
